How to Map Clover Categories to QuickBooks Accounts

What Are Category Mappings?
When SalesToBooks syncs your daily sales from Clover to QuickBooks, it needs to know where each sale belongs. Category mappings tell it: "Sales from your Food category go to the Sales - Food income account in QuickBooks."
Without mappings, your sales would land in one generic bucket. With mappings, every dollar goes to the right account — automatically.
How Mappings Work
Your Clover POS organizes items into categories — Food, Beverage, Retail, Alcohol, etc. Your QuickBooks has a chart of accounts with income accounts — Sales Revenue, Food Sales, Bar Sales, etc.
Mappings connect these two. Each Clover category maps to one QuickBooks income account.
Step 1: Go to the Mappings Page
After connecting Clover and QuickBooks, navigate to Connections in the sidebar, then click Mappings on your connection card. You'll see two sections: Categories and Tenders.
Step 2: Review Your Clover Categories
SalesToBooks automatically pulls all your active Clover categories. You'll see them listed with their names. If a category is missing, it may be inactive in Clover — SalesToBooks only imports active categories.
Step 3: Map Each Category
For each Clover category, select the corresponding QuickBooks income account from the dropdown. Common mappings:
- Food → Sales - Food (or Food Revenue)
- Beverage → Sales - Beverage (or Bar Sales)
- Alcohol → Sales - Alcohol
- Retail / Merchandise → Sales - Retail
- Gift Cards → Gift Card Liability
Don't have matching accounts in QuickBooks? SalesToBooks can create them for you automatically — or you can create them in QuickBooks first and refresh.
Step 4: Use AI Suggestions
Not sure what maps where? Click AI Suggest and SalesToBooks will analyze your Clover categories and QuickBooks chart of accounts to recommend the best mappings. Review the suggestions, adjust if needed, and save.
Step 5: Save and Verify
Click Save Mappings. Your mappings are now active. The next daily sync will use these mappings to create properly categorized entries in QuickBooks.
You can change mappings anytime — future syncs use the updated mappings. If you need to fix a past sync, you can re-push that day's report from the Reports page.
Tips
- Map every active category. Unmapped categories will show a warning on your dashboard.
- If you add new categories in Clover, SalesToBooks will detect them on the next sync and ask you to map them.
- Your accountant can manage mappings from their free dashboard if you prefer.
