How to Map Clover Tenders to QuickBooks Deposit Accounts

Map your Clover payment types (cash, credit, gift cards) to the right QuickBooks accounts. Keep your deposit tracking accurate.

What Are Tender Mappings?

Tenders are payment methods — cash, credit card, debit card, gift card, etc. When SalesToBooks syncs your daily sales, it breaks down payments by tender type. Tender mappings tell it which QuickBooks account each payment method should be deposited to.

This is how you track where your money actually lands: cash in the register, credit card deposits in your bank account, gift card redemptions against your liability account.

Why Tender Mappings Matter

Without tender mappings, you'd see one lump sum deposit. With them, you can:

  • Track cash separately from credit card deposits
  • Account for processing fees on card payments
  • Handle gift card redemptions against your liability account
  • Reconcile bank deposits more easily

Step 1: Navigate to Tender Mappings

Go to Connections in the sidebar, click Mappings on your connection card, and scroll down to the Tenders section. You'll see all your Clover payment types listed.

Step 2: Map Each Tender

For each Clover tender, select the QuickBooks account it should map to. Common mappings:

  • Cash → Cash on Hand (or Undeposited Funds)
  • Credit Card → Undeposited Funds (or your merchant account)
  • Debit Card → Undeposited Funds
  • Gift Card → Gift Card Liability
  • Check → Undeposited Funds

Most restaurants use Undeposited Funds as the default for card payments. This matches how QuickBooks handles bank deposits — you'll see the aggregate deposit in your bank feed and match it against the undeposited funds.

Step 3: Save

Click Save Mappings. Done. Every future sync will split payments by tender into the right accounts.

Common Questions

What if Clover adds a new tender? SalesToBooks detects new tenders automatically and will prompt you to map them before the next sync.

Can I use the same account for multiple tenders? Yes. Many restaurants map all card types (credit, debit) to the same Undeposited Funds account.

What about tips? Tips are tracked separately in the sync — they're part of the daily sales report but mapped to their own line item, not the tender mapping.
